Build Your Evidence File Before Anything Breaks
Every denial in this business is answered by a document. The evidence file is simply those documents, gathered while nothing is wrong — because after the breakdown, half of them no longer exist.
The baseline file (one weekend)
- The home inspection report from your purchase — the single strongest document you own. It proves each system worked on a date near your plan's start.
- Dated photos of every covered system and appliance — running, where the photo can show it (a thermostat reading, a flame, a cold fridge thermometer).
- Serial and model numbers, photographed off the nameplate — they pin the unit's age and identity.
- The seller's disclosure form and any repair invoices the seller left behind.
- Your issued Plan Summary — the covered-items list and caps for YOUR tier, not the brochure.
The living file (five minutes at a time)
Every tune-up, flush, filter change, and service visit gets logged the week it happens — date, company, unit, what was done, receipt attached. The kit's logs are organized by the denial each entry defeats, so the file reads like an answer key at appeal time.
Where to keep it
Paper in one folder, photos backed up anywhere you already back up photos. The format matters less than the dates: an undated receipt is a rumor; a dated one is evidence.
Be ready before it breaks — and fight it right if they say no
Included in the $39 WarrantyDecoded Kit
- The evidence-file system — the day-one baseline file (photos, serial numbers, inspection report) that makes 'pre-existing' hard to claim
- Maintenance logs organized by denial reason — each log page names the denial it defeats ('not maintained' dies when the records exist)
- The claim-call script — what to say when you call a claim in, and the things to never say on a recorded line
- The denial-appeal ladder — written appeal, escalation, your state's correct complaint door, and the arbitration/small-claims routing your contract actually allows
- The cash-out worksheet — their 'actual cost' check vs. the real replacement price, so you know the gap before you accept it
- The renew-or-cancel worksheet — caps against the replacement cost of YOUR oldest systems, with the numbers filled in
